Job Summary
Pleasant Valley Farms seeks a dependable, organized, detail-oriented Accounts Payable Specialist to join our administrative team. This position manages day-to-day accounts payable functions, including processing vendor invoices, matching invoices to purchase orders and receiving documentation, reconciling vendor statements, preparing payments, maintaining accurate records, and resolving discrepancies. The ideal candidate is highly organized, accurate, comfortable working with numbers, and able to manage a high volume of invoices while meeting deadlines. This position works closely with vendors, management, purchasing, receiving, and other departments throughout the company.
Key Responsibilities
Accounts Payable
- Review, code, and enter vendor invoices accurately and timely.
- Match invoices with purchase orders, receiving documents, and other supporting documentation.
- Verify pricing, quantities, approvals, and payment terms before processing invoices.
- Prepare and process weekly vendor payments, including checks, ACH payments, and other approved payment methods.
- Maintain accurate accounts payable records and supporting documentation.
- Monitor outstanding invoices and ensure payments are made according to established terms.
- Reconcile vendor statements and research missing invoices, credits, or discrepancies.
- Communicate directly with vendors regarding invoice and payment questions.
- Research and resolve billing, pricing, receiving, and payment discrepancies.
- Process vendor credits and ensure credits are properly applied.
- Maintain vendor files and assist with new vendor setup and documentation.
- Obtain and maintain required vendor information, including W-9 forms.
- Assist with year-end vendor reporting and 1099 preparation.
Accounting & Administrative Support
- Assist with account reconciliations and month-end closing activities.
- Maintain organized electronic and physical accounting records.
- Work with purchasing, receiving, operations, and management to resolve invoice discrepancies.
- Assist with audits by providing requested invoices, payment records, and supporting documentation.
- Monitor accounts payable aging and identify outstanding issues requiring follow-up.
- Maintain confidentiality of company, vendor, and financial information.
- Assist with additional accounting and administrative projects as needed.
Qualifications
- Previous accounts payable, bookkeeping, or accounting experience preferred.
- Experience processing invoices and reconciling vendor statements.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Ability to prioritize multiple responsibilities and meet deadlines.
- Comfortable working independently while also being part of a team.
- Strong communication and problem-solving skills.
- Proficiency with Microsoft Excel, Outlook, and general office software.
- Experience with accounting or ERP software is preferred.
- Ability to handle confidential financial information professionally.
- High school diploma or equivalent required; accounting or business coursework is a plus.
Preferred Experience
Candidates with experience in any of the following are especially encouraged to apply:
- Accounts payable in agriculture, food manufacturing, processing, distribution, or transportation
- High-volume invoice processing
- Purchase order and three-way matching
- Vendor statement reconciliation
- ACH and check payment processing
- Month-end accounting procedures
- 1099 preparation
- ERP or accounting software
